In most small businesses, the BYOD decision was never made — it just happened. Staff read email on personal phones, a contractor uses their own laptop, someone checks the shared drive from home. Each is reasonable; together, unmanaged, they mean company data lives on devices you’ve never seen, with no passcode requirements, no updates, and no way to respond when one is lost at the airport.
The risks that are actually real
- Lost and stolen devices with mail and files cached, protected by nothing but hope.
- Out-of-date personal devices — the update discipline you enforce on work machines doesn’t exist at home.
- Departures: an ex-staff member’s personal phone keeps synced mail and files unless you can revoke it.
- Family sharing: the tablet that holds your client files is also the kids’ gaming device.
The middle path: manage the data, not the whole device
Staff rightly resist handing employers control of personal phones — and you don’t need it. Modern app-protection policies (built into Microsoft 365 Business Premium and Google Workspace) draw a boundary around the business apps only: require a passcode and encryption, keep company data inside managed apps, and allow the business to wipe its own data — and only its data — without touching photos or messages. Privacy for them, control for you.
The BYOD baseline worth writing down
- Business data only through approved apps (Outlook, Teams, Drive) with app protection applied.
- Device requirements to enrol: passcode/biometric, up-to-date OS, not jailbroken/rooted.
- Personal laptops used for real work either get enrolled and protected — or work happens on a company machine. No thumb-drive workflows.
- Offboarding includes revoking mobile access and wiping business data from personal devices — written into the checklist, not left to memory.
- Put it in a one-page policy staff actually read, with the privacy boundary stated plainly: we can see and wipe business data, we cannot see your personal life.
Handled this way, BYOD stops being a security hole and becomes what it always promised: flexibility, minus the 2am phone call about a phone left in a taxi.
