MFA: The 10-Minute Upgrade That Stops Most Account Takeovers

If your business makes exactly one security improvement this year, make it this one. Multi-factor authentication (MFA) — requiring a second proof of identity beyond the password — defeats the most common attack in existence: signing in with a stolen password. Microsoft’s long-running telemetry has consistently found MFA blocks the overwhelming majority of automated account-compromise attempts.

Why passwords alone lost the war

Billions of leaked passwords circulate from old breaches, and people reuse them. Attackers simply replay leaked passwords against Microsoft 365, banking and accounting logins at scale. They don’t "hack" the account — they log in. MFA breaks this: the password alone is no longer enough.

Which second factor should you use?

• Authenticator app (recommended for most SMBs): free, phishing-resistant enough for most threats, works offline.
• Security keys (best): a physical key like a passkey or FIDO2 device — effectively immune to phishing. Worth it for owners, finance staff and admins.
• SMS codes (better than nothing): vulnerable to SIM-swapping, but still vastly better than no MFA. Use only where apps aren’t possible.

The rollout that doesn’t annoy your team

Start with the accounts attackers value: email (it resets everything else), banking and payroll, remote access, and every admin account. Tell staff why in one honest sentence — "one stolen password shouldn’t be able to empty the trust account" — and set up alongside them; enrolment takes minutes per person. Enable "remember this device" on trusted machines so prompts stay rare.

The whole exercise costs almost nothing, takes an afternoon for a typical small team, and moves you from the easy-target column to the hard-target column. It’s also the first question on every cyber-insurance form — being able to answer "yes, everywhere" pays for the afternoon many times over.
